Document expiry alerts

Almost 50 QMS documents, each with its own expiry date. The quality team is warned two days before each one lapses.

01

Problem and my role

The laboratory’s quality management system ran on almost 50 controlled documents, and every one had its own expiry date. The quality assurance department needed to know when each document was about to expire, so it could be reviewed and updated in time. I built the automation that tracks those dates and raises the alert.

02

Workflow

  1. A Python script collects the expiry date of every QMS document and loads them with pandas.
  2. Each date is checked against today.
  3. Any document two days from expiry triggers an email over SMTP to the quality team.
  4. The team updates the document before it lapses.

Stack: Python, pandas, smtplib.

Result

The quality team no longer had to track almost 50 expiry dates by hand. Each document came with a two-day warning, giving the team time to update it before it expired.
